Processing purposes and legal basis
At the Symposium photos and videos will be taken to document the event visually and for use on our media platforms as part of Fraunhofer’s public relations activities. The photo and video recordings are created and processed on behalf of the data controller. Since you may be identified in these images, either directly or indirectly, they represent personal data according to the General Data Protection Regulation (GDPR).
The images will be used for news reporting directly associated with the event, for internal reporting at Fraunhofer and for the (institute-related) historical archiving and documentary purposes.
Furthermore, the images will be published for the purpose of post-event reporting on our media platforms such as Twitter, LinkedIn, Instagram, YouTube or our website. This processing is required in particular to document and promote our Symposium.
The legal basis for data processing is Art. 6 (1) lit. f GDPR. The purposes mentioned are legitimate interests within the meaning of this provision.
The images will be stored for 3 years. If selected videos and/or photos are archived beyond this period for (institute-related) historical archiving and documentary purposes, we generally store them until such moment as an identifiable data subject objects (Art. 21 (1) sentence 2 GDPR). Storage will continue beyond such objection only if we can demonstrate compelling legitimate grounds for processing which override the interests, rights and freedoms of the data subject or for the establishment, exercise or defence of legal claims.

You have the right to file a complaint at any time, for reasons resulting from your special situation, against the processing of your personal data, on account of point (f) of Article 6(1) GDPR (data processing on fair balancing of interests); this is also applicable to profiling pursuant to Article 4(4) GDPR based on this regulation.
If you file an objection, we will no longer process your personal data unless we can demonstrate compelling legitimate grounds for processing which override your interests, rights and freedoms, or unless the processing serves the establishment, exercise or defense of legal claims.
If your objection is directed against the processing of data for the purpose of direct marketing, we will stop the processing immediately. In this case, citing a special situation is not necessary. This includes profiling to the extent that it is related to such direct marketing.
